Easy Stamp Printing with Royal Mail Posted on April 4th

Following on from my recent post describing the issues involved in the shipping process and how Scrobbld can help sellers tackle those needs I decided it would be useful to demonstrate how Scrobbld can integrate with other shipping solutions. If you are one of those sellers that are used to copy and pasting the address details or printing them one by one in PayPal you don’t need to read this. However if you are tired of this process and looking for a way to save some time to catch up with friends instead of staying up all night go ahead and read this post. One thing to note is that this post is specific to UK sellers that are using PayPal for their transactions.

Royal Mail is the primary postal service for most UK sellers and therefore we are using it to describe how you can facilitate the shipping process. I am sure there are similar approaches to the problem if you are using other services. For the purpose of this post please go to the SmartStamp website and sign up for an account. Also you will need Microsoft Excel on your computer to be able to import the addresses into SmartStamp. It’s an easy process and takes only a few minutes. SmartStamp allows you to print stamps from the comfort of your home and you won’t have to stay in the post office in long queues anymore. The most you will need is a signature for your signed items. The stamps can be either printed in bulk or combined with your addresses on several types of paper with a printer or a label printer. I highly recommend sticky papers as you won’t need to glue them to the packages. I will discuss label printers in later posts. The whole process shouldn’t take much time and if you’ve done a bit of copy and pasting in the past then I am sure you will thank us for this.

To start you will need some PayPal transactions in your account as I am assuming that you are not using Scrobbld to send your Christmas gifts. On the Scrobbld transaction overview click on the not exported link on the left panel. It comes up with the new transactions that you have not exported yet and click on the export all button to get a CSV file of the unsent items. Alternatively you can select the transactions that you want to export and click on export selected. One important thing to note is that if you have enabled your dispatch notification an email will be sent to the specific customers that notifies them of the status of the order with your customized message or the default message that is available on the accounts.

After saving the CSV file, open it with excel and save as an excel file. This should all take you less than a minute. Now that you have prepared the addresses for SmartStamp you are ready to move to the fun part, printing stamps. Start up your SmartStamp software and select your paper settings. Click on the label button on the left panel and then address book button. Choose Microsoft Excel from the drop down menu and use the setting button to import your Excel file.

You can preview your addresses in the preview box on the right panel after clicking on any of the addresses. Click ok and you are ready to go. If you have several items of similar weight and size you can choose mail merge from the option box to print them all at once. Choose your post option and the addresses that you would like to print.

That’s it, now you can print the stamps using both Scrobbld and SmartStamp, in nearly no time at all, much increasing your productivity and the number of packages that you can dispatch every day.

Please give your comments on the post and if there are any modifications to this process that work best for you.

  2. USELESS FACILITY - why can’t we use a label printer to print these “stamps” ? Other countries’ mail services allow you to do this, and let you personalise each “stamp” as well.

  3. Haha, yes, we agree with you. Royal mail is a difficult organisation to crack. Maybe they’ll go with the times at some point and release an API, but I would say it’s unlikely.
